A Few Important Items to Note

As we move through a busy and important time of year, we want to share a few updates with our Claremont families. 

First, PTO nominations are now open. Our PTO plays a vital role in supporting our students, staff, and school community, and their impact is felt daily. We strongly encourage you to consider getting involved. Your time and voice truly matter, and we are incredibly grateful for the support our PTO provides.

This Wednesday, we celebrate Administrative Professionals Day. Mrs. Howard and Mrs. Goodwin keep everything running smoothly for our school, and we know our families appreciate them as well. Please take a moment to let them know!

Enrollment for next school year is underway, and this process is directly tied to our staffing. Hiring for next year has already begun, and timely enrollment ensures we are able to plan effectively and put the right people in place to support our students.

We also want to share that week one of state testing went smoothly. Our students showed up focused and prepared, and we are proud of the effort they are putting forth. We expect they will keep up the good work! 

Finally, Teacher Appreciation Week is May 4–8. PTO is organizing a collaborative effort to celebrate our teachers, and we invite you to be part of it. Consider donating the grade-level items listed below for your child. Simply purchase individually packaged items, label them, and send them with your child, drop them off at the school office or in the morning car arrival line next week, April 27-29. Your contribution helps create a meaningful, collective way to show appreciation. For more details, see below.

  • Items may be sent to school with your child, given to volunteers at morning car arrival, or brought to the front office.

  • Individualized packaging is preferred to allow for distribution.

PTO will be accepting nominations for board positions through May 11.

Voting will be held at Claremont, May 12 at 4 PM.

The purpose of the PTO is to enhance and support the educational experience at Claremont Elementary, to develop a closer connection between school and home by encouraging parent involvement, and to improve the environment at Claremont Elementary through volunteer and financial support. 

PRESIDENT

ROLE INCLUDES: 

  • attend and host PTO meeting and executive board meetings
  • management skills
  • delegation and organizational skills
  • communication skills
  • planning skills
  • plan with PTO board
  • liaison to the principal and school
  • organize and lead PTO meetings
  • organize yearly fundraisers
  • sign off on financial statements

VICE PRESIDENT

ROLE INCLUDES: 

  • attend PTO meetings
  • assist the president
  • communication skills
  • organizational and planning skills
  • lead meetings in president's absence
  • accept delegated responsibilities
  • participate in executive board meetings
  • ambassador for the PTO and school
  • liaison for new families
 

TREASURER

ROLE INCLUDES: 

  • attend PTO and executive board meetings
  • maintain timely and efficient financials with accuracy and provide up-to-date records
  • present monthly reports
  • record all financial transactions
  • create monthly PTO treasury reports
  • reconcile receipts, checkbooks, etc.
  • write checks
  • make timely deposits
  • keep financial transactions available
  • file tax forms
  • renew tax ID
  • renew required subscriptions
  • facilitate annual audit

CO-TREASURER

ROLE INCLUDES: 

  • attend PTO meetings
  • be a backup to the treasurer
  • review monthly/annual treasury activities
  • be a support to all listed treasury responsibilities
 

SECRETARY

ROLE INCLUDES: 

  • attend PTO meetings
  • accurately record minutes, type and distribute minutes, seek approvals at meetings
  • attend PTO executive board meetings
  • accurately record board minutes, type and distribute minutes to officers
  • type and make copies of agendas for PTO meeting (as developed in board meeting)
  • prepare sign-in sheet
  • send notices to members and families (via email, social media, etc.)
  • maintain complete file of all approved meeting minutes and agendas
  • keep all PTO records and have available at all meetings (minutes, bylaws, membership list, etc.)
  • handle correspondence; prepare notes of thanks, sympathy, inquiry, etc. (as needed on behalf of the PTO with direction of the board)
 
 

VOLUNTEER COORDINATOR

ROLE INCLUDES: 

  • attend PTO meetings
  • attend PTO executive board meetings, as needed
  • coordinate volunteers for PTO events and school activities
  • promote and collect volunteers; make available to both PTO committee as well as teachers
  • contact PTO members and other possible volunteers, usually by phone, social media, or email
  • request assistance with PTO or school events, projects, donations, etc.
  • maintain records of volunteer work to acknowledge with appreciation or other
  • call and remind volunteers as needed
 

CO-SECRETARY

ROLE INCLUDES: 

  • attend PTO meetings
  • be a backup to the secretary
  • be a support to all listed secretarial responsibilities

Phase  1: ONLINE REGISTRATION UPDATE
(opened March 23)

Access the Infinite Campus (IC) Parent Portal:

--> Navigate to the IC Parent Portal login page.

* If you have not activated your account, please email enrollmentcenter@claremore.k12.ok.us or call 918-923-4350 to receive your activation key.

Complete the Online Registration Update:

--> Log in to your IC parent portal via a desktop or the IC app.

--> Navigate to Home Screen > Shortcuts > Zebra Online             Registration Update.

--> Select "Existing Student Registration" and then click "Start".

--> Update your student(s) information as required.

* The new school year will require an updated Proof of Residency (e.g., a utility bill).

Secondary  Students- Complete Class Selection Process

This will be completed during school with the students; you will receive information from the site principal or counselor. 

If you are new to the school contact the site to make an appointment. 

 

Phase  2: SUBMISSION OF REQUIRED PAPERWORK
(After July 1)

Complete and Ensure Submission of Required Forms:

  • Updated Proof of Residency
    (if not previously submitted during the online registration update)
  • Educational Benefits Form (Child Nutrition+)
  • Home Language Survey
  • McKinney-Vento Form
  • Technology Responsible Use Agreement
  • Device Protection Fee

*Forms are available after July 1 and must be submitted before receiving a class schedule.

 
 

Phase 3: ENROLLMENT STATUS

Communication From School:

  • A notification will be sent stating the enrollment process is complete.
  • A notification will be sent stating documentation from Phase 2 is missing. Enrollment status is incomplete until notification of the process being completed is received. 

ELEMENTARY

Teacher assignments will be given during the annual "Meet The Teacher" event in August.

SECONDARY

Class schedules will be distributed in August once they are finalized.

*If the process is NOT completed student will not receive an assigned class or schedule until the process is completed. 

 

TRANSFERS

Student Open Transfer Application:

If a resident student moves outside the CPS boundaries, complete the Student Open Transfer Application available from June 1.

 Student Intra-district Transfer:

If a student lives in the CPS boundaries and is requesting an intra-district transfer, the enrollment process will not be completed until the transfer is approved or denied. This will not take place until late July.

CHILD NUTRITION

NO CHARGING BEGINS MAY 1ST. 

With the end of school quickly approaching, this is a reminder that students who do not have money in their lunch accounts will no longer be able to charge meals as of May 1, 2026. Students who do not have money in their accounts will receive alternate meals. Alternative meals, including a sandwich, milk, and fruit, meet all federal child nutrition guidelines. Review the policy here.

If your child has current meal charges or debt, you can add funds online with your Infinite Campus Parent Portal, make cash/check payments with the cafeteria manager at your site, or contact the Child Nutrition office to set up a repayment schedule.
